Overview

What was the project?

Modernizing network infrastructure across a major healthcare facility takes more than replacing equipment. It demands careful preparation, technical expertise, coordinated resources, disciplined change management and a clear understanding of the physical environment supporting critical hospital operations.

Data Convergence is responsible for managing and executing an extensive Cisco network infrastructure modernization spanning more than 60 Intermediate Distribution Frame (IDF) closets throughout a major New Jersey hospital.

The initiative replaces legacy Cisco Catalyst 4509 chassis switches with Catalyst 9400 chassis, and migrates Cisco Catalyst 3850 switches, including stacked configurations, to Catalyst 9300 switching infrastructure.

Data Convergence directly performs and manages the migration activities: network equipment configuration, Cisco IOS upgrades, hardware replacement, infrastructure surveys, cable remediation, resource coordination, equipment transportation and implementation-readiness assessments. The engagement demonstrates the ability to take responsibility for complex, multi-location infrastructure execution within a demanding enterprise healthcare environment.

The challenge

What made it hard?

A large hospital network supports connectivity across numerous departments, floors and operational areas. Each IDF closet is an important part of the facility’s network. Modernizing these environments requires accurate equipment identification, proper configuration, reliable physical connectivity and careful coordination of implementation schedules. The project presents several interconnected challenges:

  • Replacing legacy chassis and access-layer switches across more than 60 IDF environments
  • Assessing each closet’s physical readiness before implementation
  • Identifying, tracing and labeling existing copper and fiber connections
  • Addressing cabling conditions that could complicate equipment migration
  • Preparing replacement equipment and the required software configurations
  • Coordinating additional technical resources
  • Transporting equipment to the right implementation locations
  • Managing migration schedules and implementation readiness
  • Participating in weekly status meetings and reporting outstanding site conditions

The solution

How did Data Convergence deliver it?

Direct technical execution and operational coordination throughout the modernization effort.

  1. 01

IDF site surveys and deployment readiness

Before implementation, Data Convergence surveys individual IDF closets to evaluate readiness for the planned hardware migration. The surveys identify existing equipment, physical infrastructure conditions, cabling requirements and issues that need attention before the scheduled work.

Findings are communicated through project coordination, including weekly status meetings and readiness feedback. The objective is to identify deployment obstacles before they interfere with scheduled migration activities.

  2. 02

    Cisco chassis and switch migration

Each IDF migration generally includes replacing an existing Catalyst 4509 chassis with a Catalyst 9400 chassis. Existing Catalyst 3850 switching is migrated to Catalyst 9300 equipment, and some closets contain two 3850 switches operating in a stacked configuration.

Data Convergence directly manages and performs these hardware migrations, coordinating the physical replacement with the required network engineering activities.

  3. 03

    Network configuration and IOS upgrades

Data Convergence is responsible for configuring replacement network equipment and performing the required Cisco IOS software upgrades, preparing the replacement infrastructure and supporting the transition from legacy switching platforms.

Combining hands-on hardware deployment with network configuration expertise provides more comprehensive infrastructure execution than a conventional rack-and-stack assignment.

  4. 04

    Copper and fiber cable remediation

Existing physical connectivity is assessed as part of the migration. Data Convergence traces, identifies, reruns and replaces copper and fiber cables where necessary, and addresses cabling conditions found during the refresh.

Cable remediation is built into the deployment so reconnection is accurate, organization improves and physical connections are easier to identify.

  5. 05

    Port-level cable labeling and management

Data Convergence performs detailed cable labeling associated with the chassis switch ports. This improves the identification and organization of physical network connections within the IDF closets.

The result is not only newly installed switching hardware, but attention to the physical infrastructure around it.

  6. 06

    Equipment logistics and field coordination

Data Convergence coordinates the movement and transportation of required equipment to individual implementation locations, and coordinates and manages the additional technical resources needed to complete migration activities.

This combines hands-on engineering with the resource coordination and logistics a project of this scale needs.

  7. 07

    Implementation scheduling and project communication

Data Convergence participates in weekly project status meetings to review implementation readiness and give feedback on IDF closet conditions. These discussions identify outstanding requirements, communicate field observations and coordinate upcoming migration activity.

The objective is informed implementation planning and fewer avoidable surprises during scheduled deployment work.

Delivery lifecycle

Engineering expertise meets delivery management

  1. Survey
  2. Assess readiness
  3. Prepare
  4. Coordinate
  5. Transport
  6. Configure
  7. Upgrade
  8. Migrate
  9. Remediate
  10. Verify
  11. Report

Data Convergence is not limited to supplying an engineer to install a switch. We directly manage and perform the technical migrations while coordinating the people, equipment, readiness activities and communication required to support the project.
